This policy outlines the conditions under which refunds may be issued and the process for requesting them.

1. Refund Eligibility

Refunds are considered on a case-by-case basis, and eligibility depends on the specific situation. Below are the conditions under which a refund may be requested:

  • Before Project Commencement: If the project has not yet started, the client is eligible for a full refund. The project is considered to have started once any research, planning, or development work has been initiated.
  • Work Not Delivered or Incomplete: If the project has begun but no substantial work has been delivered to the client, a partial refund may be issued. The amount will be determined based on the proportion of work completed up to the point of cancellation.
  • Dissatisfaction with Initial Deliverables: In cases where the client is dissatisfied with the initial design, wireframes, or other early-stage deliverables, the client may request a refund. However, a refund will only be considered before the final approval of these stages. The refund amount will be based on the work completed to that point, and any completed milestones will not be refundable.
  • Failure to Meet Agreed Specifications: If the final deliverables do not meet the specifications outlined in the project agreement and the client provides clear evidence of this, a refund request will be reviewed. The refund amount will depend on the extent of the discrepancy.
  • 2. Non-Refundable Services

    Certain situations and services are non-refundable, including:

    • After Final Delivery: Once the final deliverables (website, application, software, etc.) have been approved and accepted by the client, no refund will be issued.
    • Scope Changes or Delays Caused by the Client: If delays, quality issues, or project failures arise due to client-side issues, such as delays in providing content, changes to the project scope, or failure to communicate requirements clearly, no refund will be granted.
    • Third-Party Costs: Any third-party services (e.g., domain registration, hosting services, software licenses, plugins, or other services) purchased on the client’s behalf are non-refundable. We are not responsible for the refund policies of these third-party vendors.

    3. Refund Request Process

    To request a refund, the client must follow the process below:

    • Submission of Refund Request: Refund requests must be submitted in writing via email to [info@ketstontechllc.com]. The request must include the following details:

    • Client name
    • Project name and reference number (if applicable)
    • Detailed explanation of the issue or reason for the refund request
    • Any supporting documentation or evidence, if relevant

    Review Process

    Once a refund request is submitted, it will be reviewed by our team within 10 business days. During this time, we may request additional information or clarification from the client.

    Approval or Denial of Refund

    After review, the client will be notified of the decision to approve or deny the refund request. If approved, the refund will be processed within 15 business days of the approval notice.

    4. Partial Refunds

    Partial refunds may be issued based on the stage of project completion, as follows:

    Work-Based Refunds: For projects where significant work has already been completed, a refund will be based on the proportional amount of work delivered. The final refund amount will be calculated by deducting the cost of the completed milestones from the total project value.

    Cancellation Mid-Project: If the client cancels the project after significant work has started, a refund will be issued based on the amount of work completed up to the cancellation date. Any non-completed milestones will be refundable, minus any incurred expenses.

    5. Exceptions to Refunds

    Refunds will not be issued under the following conditions:

    • Client Dissatisfaction with Third-Party Integrations: We are not responsible for the quality or performance of third-party services (e.g., plugins, APIs, hosting providers) that may be part of the project. No refunds will be provided for dissatisfaction with these services.

    • Breach of Agreement: If the client violates any terms of the project agreement, including but not limited to scope changes, late payments, or refusal to provide necessary information, no refund will be issued.

    6. Dispute Resolution

    In the event of a dispute regarding deliverables, quality of work, or the amount of refund issued, the client is encouraged to engage in an open and transparent discussion with our team. We are committed to resolving disputes amicably, and will make every effort to address concerns before proceeding to formal dispute resolution. If a resolution cannot be reached, the matter may be referred to arbitration as per the terms of the project agreement.

    7. Changes to the Refund Policy

    KeyStonTechllc reserves the right to modify or update this refund policy at any time. Any changes to the policy will be communicated on our website and will apply to future transactions. Refunds will not be issued retroactively under the new policy unless otherwise specified.
